How to Follow Up on Quotes in Jobber: Reminders, Automation, and Message Examples

You sent the estimate. The homeowner seemed interested. Maybe they even said they wanted to get the work scheduled. Then nothing. For a contractor, that silence is frustrating: the customer may be comparing prices, arranging financing, checking with a spouse, or handling other priorities. Jobber gives you ways to keep unanswered estimates from depending entirely on memory, but its team reminders and automatic customer follow-ups are different features.

First, understand the two ways to follow up in Jobber

Jobber calls estimates quotes. After sending one, you can use a manual quote reminder or an automatic quote follow-up. They solve different problems.

A small plumbing shop may prefer personal calls for expensive replacements. A busy HVAC office handling dozens of quotes may pair automatic follow-ups with individual attention for complex jobs.

How to find quotes that need follow-up

  1. Sign in to Jobber.com on the web.
  2. Select Quotes from the side navigation to open the quote list.
  3. Filter the list by status and choose Awaiting Response for quotes waiting on customer action.
  4. Open each quote and review the customer, quoted value, created or sent date, and quote history before reaching out.

The quote list also shows an overview by status and metrics such as sent quotes, converted quotes, and conversion rate for a selected date range. You can filter by quote status, created date, and salesperson, then sort rows by client, quote number, property, created date, status, or total.

A weekly review of outstanding quotes gives the office a regular chance to catch a missed response, a requested revision, or a quote that no longer needs follow-up.

How to set up manual quote reminders in Jobber

Manual reminders work well when you want a person to choose the timing, channel, and wording for each conversation. Jobber documents quote reminders as available on all plans.

  1. Open the gear icon and select Settings.
  2. Go to Work Settings and find the Quotes section.
  3. Turn on quote reminders.
  4. Choose how many days after a quote is sent you want its reminder to appear.

For example, a roofer could send a replacement quote on Monday and set a reminder for three days later. On Thursday, the assigned teammate checks the status and history, then decides whether a call or email makes sense. The delay is a prompt for the team, not a customer-facing send time.

How to set up automatic quote follow-ups in Jobber

Jobber’s standard automatic quote follow-ups are available on Connect and higher. If Automations is available to your account, an admin can configure them from Settings → Automations:

  1. Open the gear icon and select Settings.
  2. Select Automations and find the quote follow-up automations.
  3. Open a follow-up to edit its schedule and message.
  4. Choose the number of days after the original quote was sent, edit the message, and save the automation.

The standard feature has two follow-up automations, so it can send up to two reminders for quotes in Awaiting Response. Each delay can be set as far as 90 days after the quote was sent, and the message text is editable. Follow-ups use the same channel as the original quote: an emailed quote gets an email follow-up, and a texted quote gets a text follow-up. Jobber says it sends at the same local time of day as the original quote.

A customer or contact receives the follow-up only when “outstanding quote follow-ups” is enabled in that profile’s communication settings. Check the preference before relying on an automation to reach someone.

When should you follow up on an estimate?

There is no single schedule for every contractor. A $350 plumbing repair and a $16,000 HVAC installation involve different decisions. An urgent repair may need a faster check-in; a bathroom remodel may give the customer several weeks to compare proposals.

  • First follow-up: about 2–3 business days after the estimate. Confirm it arrived and offer to clarify the scope.
  • Second follow-up: about 5–7 business days after the estimate. Ask whether materials, scheduling, or included work needs clarification.

These are adaptable starting points, not a Jobber requirement or a conversion guarantee. Contact the customer sooner when an urgent repair warrants it. For a longer project, agree on a decision timeline during the estimate conversation and honor that timeline and the customer’s preferred communication channel.

Stop after a decline, a request for no further contact, or confirmation that the customer hired someone else. Silence alone does not tell you what happened, but it is not permission to send messages indefinitely.

Three quote follow-up messages contractors can adapt

A useful follow-up refers to the actual work, respects the customer’s decision, and makes replying easy. Check the quote, status, and message history first. Replace sample names and company details, keep any claim current, and honor the channel and timeline the customer agreed to.

HVAC system replacement
Subject: Checking in on your AC replacement estimate

Hi Mark, Just checking whether you had a chance to review the estimate for the AC replacement. If you’re comparing systems or have questions about what’s included in the installation, I’m happy to walk through the options. No rush to decide today. Let me know if there’s anything I can clarify. Thanks, Chris [Company Name]

Why it works: A replacement system can be a significant household expense. Offer clarification instead of pushing for approval.

Roofing estimate
Subject: Any questions about your roof replacement quote?

Hi Sarah, I wanted to follow up on the roof replacement estimate we sent over. If you’d like to go through the material options, warranty details, or proposed schedule before making a decision, just reply here. Happy to help you compare the options. Best, Daniel [Company Name]

Why it works: Roofing proposals can differ in scope and materials. Help the customer compare the details.

Water-heater replacement
Subject: Following up on your water-heater estimate

Hi James, Checking in on the water-heater replacement estimate from earlier this week. If you’d like to move forward, let me know and we can discuss available installation dates. If you have any questions about the work or the equipment, I’m happy to help. Thanks, Mike [Company Name]

Why it works: Offer a clear next step and invite questions without implying that a date is already reserved.

Keep a text brief and personal instead of copying a full email into SMS. Use text only when the customer’s preferences and the relevant communication settings allow it.

What to do when the customer still does not respond

Silence does not always mean the customer rejected the quote. They may be comparing bids, postponing the project, or simply have not had time to reply. Before another message, check the current scope, quote status, and quote history.

  • Did the customer ask for revised pricing or changes to the scope?
  • Is the project time-sensitive, and did you agree on a decision date?
  • Have you already sent a manual reminder or an automatic follow-up?
  • Would a personal call or a direct answer to a question help more than another automated message?

Avoid a duplicate series of separate reminders while Jobber automation is running. Coordinate the messages so the customer does not receive overlapping copies. For a valuable or complicated project, assign a teammate to make a thoughtful personal follow-up rather than relying entirely on automation.

What is an unanswered quote actually worth?

Following up helps make sure a potentially worthwhile opportunity is not overlooked. Track actual quote outcomes over time for a useful view of sales performance. Do not multiply open quote value by a hypothetical recovery percentage and present that as pipeline value or revenue.

Jobber’s built-in workflow or a separate tool?

If your Jobber plan includes automatic quote follow-ups, start by using its quote status, communication, and reminder workflow. A separate service may be worth evaluating if you create estimates outside Jobber or prefer a different follow-up workflow.

Do not assume separate systems synchronize. If the same estimate is kept in more than one tool, coordinate status and communication history to prevent duplicate or inappropriate follow-ups.

QuoteBack is a separate service with editable follow-up sequences and response management. This guide makes no claim of a direct Jobber integration. QuoteBack is independent of and is not endorsed by Jobber.

Common follow-up mistakes to avoid

  • Sending the same generic message to everyone instead of referring to the actual project.
  • Following up without checking whether the quote changed or the customer requested a revision.
  • Treating a manual reminder as a customer message; it only prompts your team.
  • Running overlapping automations or multiple communication tools without coordinating messages.
  • Promising a discount, installation date, or availability window your company cannot honor.
  • Continuing after a customer declines, asks for no further contact, or confirms they hired elsewhere.

Frequently asked questions

Does Jobber automatically follow up on estimates?

Yes. Jobber’s standard quote follow-ups can automatically email or text eligible quotes that remain in Awaiting Response. They are available on Connect and higher, subject to communication settings.

How many standard quote follow-ups can Jobber send?

The standard feature has two automations and can send up to two follow-ups. The Grow plan offers custom follow-up automations with more control over timing, conditions, and actions.

Can I use manual quote reminders on the basic Jobber plan?

Yes. Jobber documents manual quote reminders as available on all plans. They prompt your team on the Jobber.com schedule and do not send the customer a message.

Where do I change Jobber quote follow-up settings?

For automatic follow-ups, use Settings → Automations. If Automations is not available in your account, Jobber documents Emails and Text Messages settings as a fallback. Manual reminders are configured in Settings → Work Settings → Quotes.

Can Jobber send quote follow-ups by text?

Yes. Automatic follow-ups use the same method as the original quote, so an originally texted quote can receive a text follow-up. The customer or contact’s communication preference must allow outstanding quote follow-ups.

Does QuoteBack integrate directly with Jobber?

This guide does not claim a direct integration. QuoteBack and Jobber are separate services, so coordinate quote status and messages yourself if you use both for the same customer.

Make following up part of the job

A quote should not be forgotten the moment you send it. Start with the current quote list, identify quotes awaiting a response, and check that reminders are configured correctly. Choose messages that answer real customer questions rather than demanding a decision.

You do not need to chase every customer endlessly. A consistent, respectful process helps keep good opportunities from being overlooked while leaving the decision with the customer.
