Privacy Policy

This policy describes information handled by the QuoteBack website and product, based on the product behavior reviewed for this publication.

Effective date: October 10, 2026

Information you give QuoteBack

Website visitors

If you use the contact form, QuoteBack receives your name, email address, message, and, if you choose one, your business type. The form saves these details as a contact message; the selected business type is included with the saved message. QuoteBack also sends a notification containing the submitted details through the Polsia email service to the company inbox.

Contractor and account users

An account record includes a user's name, email address, email-verification status, and account timestamps. Authentication records include credential and session information. Session records include an expiration time and may include the IP address and browser user-agent information supplied with a request. Contractors who invite teammates also submit invitees' email addresses and invitation status information.

Information contractors enter about customers

Contractors provide the customer information and quote details they choose to put into QuoteBack. This can include a customer's name and email address, the job or work description, the quoted amount, quote date and status, and the contractor's follow-up schedule and message text.

QuoteBack also records follow-up delivery and activity details, such as whether a message was sent, its scheduled or sent time, and whether it failed. When a customer reply is recorded in the product, the reply text and received time are stored with the related quote. The product records an unsubscribe status for a quote when its follow-up recipient uses a valid unsubscribe link.

Contractors are responsible for entering the recipient's contact details and quote information. QuoteBack uses those details to provide the contractor's requested quote and follow-up workflow.

How information is used and delivered

  • Contact messages are saved so QuoteBack can receive and respond to inquiries; the submitted details are also included in an email notification to the company inbox.
  • Account and session information supports sign-in, email verification, and account access. Quote and customer details support quote management, follow-up scheduling, and reply history.
  • QuoteBack sends account and product emails through the Polsia email proxy. This includes account messages and contractor-configured quote follow-ups.
  • For a subscription checkout, QuoteBack sends the signed-in user's email, account identifier, and selected plan information to Polsia's billing API to create a Stripe-hosted checkout session. Payment details are handled through that checkout flow; QuoteBack's product forms do not ask for card numbers.

Automated quote follow-ups

When a contractor has entered a customer email and configured a follow-up for an open quote, QuoteBack can send those messages automatically using the configured schedule and message text. A customer reply recorded for that quote stops the remaining scheduled follow-ups. A valid unsubscribe request also suppresses future scheduled messages for that quote. The contractor supplies the recipient details and quote information used in these emails.

Cookies, browser storage, and analytics

Signed-in accounts use authentication session cookies. The site's theme preference is stored in browser local storage, and a signed-in dashboard notification dismissal is stored in session storage for the browser tab.

A Polsia page-view beacon is included only when a deployment provides thePOLSIA_ANALYTICS_SLUGsetting. When enabled, the browser creates or reuses a visitor identifier in local storage under polsia_vid and sends it with the app slug to the Polsia beacon. The production setting was not available to verify for this publication, so this policy does not state that the beacon is currently active.

The product code reviewed for this policy does not show a separate advertising pixel or marketing email service. Stripe-hosted checkout is used for subscription billing when available.
